Using The WHMIS Online training system

The WHMIS online training application has been designed to allow users to complete their training in a self serve manner. By self serve we mean that the system can be run by the employee taking the training without the need for an instructor to be present.

2.1 Logging into the WHMIS training system for the first time

In order for you to complete your WHMIS training online you will need a few things to get you started.

  1. Your New User Confirmation sheet.
  2. A Computer with access to the training application

Both of these can be obtained from your Human Resource Administrator. If you do not have a New User Confirmation Sheet or access to a computer system it will not be possible to complete your WHMIS training. Please contact your Human Resource Administrator to obtain these items.

2.1.1 New User Confirmation Sheet

The image below (Figure 2.1) is what your login credentials sheet should look like. On this form is the New User Confirmation information you will need to login to the system. Verify that ALL of the information on this sheet is correct before proceeding to login to the system. Make note of your Username and Password and keep this information private. Your Username and Password are unique to your Employee ID and is the way in which the system will be able to track your progress throughout your WHMIS training.
Note: Do not share your New User Confirmation sheet with any other employees. Only the Human Resource Administrator and you should know the information provided on this form.

        The New User Confirmation sheet will also display the URL otherwise known as the address of the Website you need to visit to login to the system.

         

        Note: Your first login date is recorded by the system. It is important that you finish all 4 segments of the online WHMIS training within 30 days of your first login date. If more than 30 days pass before you successfully complete the WHMIS training you will fail the training and be locked out of the system. In the event that this happens you will need to contact the Human Resources Administrator for re-certification.

2.1.2. The Login Screen

Assuming your New User Confirmation sheet is correct and you have managed to direct your web browser to the correct location you should see the WHMIS welcome screen(s) and then be prompted for your login information on the screen shown below. It is also important to be sure you logout when you are finished or taking a break from training. The system will remember where you left off. Avoid closing your Internet browser until after you have logged out on one of the many screens with a logout button.

The login process is as much a legal disclaimer that you are who you claim to be as it is a security measure. We are not responsible for people who try to beat the system.

        Help system is based on an HTML linked version of the user manual that will be provided by NewMedia once completed by ISMG. It is linked to from the crash test dummy and link text at the right of most interface screens.
        Login attempt failure will refresh the screen and display the login failure message shown in the prototype depending on the reason for login failure.
        Username is defined as unique field in the dB. Usernames and password are case sensitive.
        First Login Date – Captured in dB when user logs into the system First time a user logs in for a specific test. This date is associated with a test row. When a user is set to re-certify then the new table test row will capture the next login date as the first login date for that table row. Collect time and date here. New test row created when user account is added or re-certification request is added.
        30 day limit – The WHMIS training system has a 30 day limit for completion of all 4 training segments. From first login date if more than 30 days have lapsed then the users account is locked out and the user receives the lockout login message. The account fails to login. The system checks to be sure 30 days have not lapsed during a segment elapsed time to protect against a user logging in to the system for more than 30 days in one session.
        Logout goes to your login screen by user type.

        Type in your Username and Password into the fields provided from the New User Confirmation Sheet and then click the GO button. If you do not wish to start your training today then click the Logout button to exit the system. For help click on the image of the crash test dummy in the lower right corner throughout the application.

        Note: Your training must be completed within 30 days of logging into the WHMIS training system even if you have not started one of the training segments. Be sure you make note of how many days you have left to complete your training.

2.1.3. Segment Status Screen

After successfully logging into the system you arrive at the WHMIS Segment status screen. It will look similar to the screen seen here (Figure 2.3) except that it will reflect your current training status. If this is your first login to the system then you should see that you are about to start training segment 1 and that you have 3 attempts remaining to complete that segment. The application will store all historical tests for a user including those where they passed or failed, however the user section of the system is geared only to the current training/testing cycle. The Print Certificate link will only be available if the user has successfully completed all four segments of the test. Once the re-certify process is started this link is removed and the only way to retrieve historical certificates (for previously completed training) is through ISMG.

Only one segment can be of this status at a time. We capture this date and time as the Segment Start Date. Completed segments are review able at any time and do not get recorded by time or date after completion. The total time spent training within a segment is also recorded until the user successfully passes or fails a segment. This is called Segment Elapsed Time. Measured in time. This timer should stop when a user logs out of the system successfully and starts whenever the user clicks the link to begin training on the current segment.
When the user visits the screen for the first time the status will be: 1. X Begin Training (3 attempts remaining) 2. X 3. X 4. X. There is also an indication on this screen as to how many days and hours users have left to complete training. In the last hour this will read 0 days and 0 hours left.

There are a few things on this screen that you should be aware of. The attempts remaining are based on the number of times you have attempted a segment test and you failed that test. Everyone taking the WHMIS online training is given 3 attempts to pass each segment of the training course. Once you have successfully passed a test you are brought to this screen where you can review your training status. This is the best place to log out of the system when you are taking WHMIS training. Click on the Logout button to close your training session and exit the system.
Segments that have been successfully passed will display the Review Training link. Click on this link to go back and review the segments you have already passed. This might be helpful in the case where it has been a few days since you last used the WHMIS training system. Refresh your memory and continue on to the next segment. The current training segment is marked with a big red X to indicate that this segment has not been completed and there is a link that reads Begin Training ("x" attempts remaining). This link will take you to the current training segment. The system will know how many times you have taken that segment’s test and will replace the "x" with the number of attempts you have left to pass this segment.
If you have passed all 4 segments of the WHMIS training system then there will be a link on this page that reads Print Certificate. Clicking on this link will print out your Certificate of completion of your WHMIS training. Print this certificate out and keep it for your records. Your Human Resource Administrator will know who has passed the training and will have another copy of your certificate placed in your employee file.

2.2 Printing Your WHMIS Certificate

The Segment status screen will display a link called Print Certificate when you have completed all 4 segments of the WHMIS online training. This link will print out your most recent training Certificate only. If you are taking the training again and passed the WHMIS training before then your previous certificate can be obtained from your Human Resources Administrator.

Only the user’s most recent certificate will print from the print certificate link. Previous certificates are only reproducible from the dB by ISMG and are done on a time and materials basis. There is no legacy certificate printing tool in the WHMIS system.
Certificate Serial Number – The certificate serial # will be of the format yymmdd-000000001. Where R=test dB row ID. (Example 010912-000000001) This test was the first test in the WHMIS training system’s dB and was completed on the 12th of September 2001. The number following the zero after the dash increments with test row id.

The Printable Certificate screen (Figure 2.4) can be printed out using your Web Browser Print button. This button is usually found along the top of the Web Browser and looks like a printer. Alternatively the print command is available from the menu bar under the File menu. (Figure 2.5)

2.3 Getting Certified with the WHMIS online training System

Now that you have seen how to check your training status and how to print out your certificate it’s time to proceed to the training modules and get that certification. This section of the user manual will explain how to complete your WHMIS training using the online training system.

After logging into the system you will find yourself at a segment status screen similar to the one in figure 2.3. Click on the Begin Training link to proceed to the training segment.

2.4 The Training Phase

The training phases of the WHMIS system are an entertaining collection of animated movies. These training movies will provide you with all of the information you will need to answer the questions presented next in the testing phase. All you need to do is sit back, watch, and listen to the movie!

Note: The multimedia presentation format of the WHMIS training system requires that your computer have speakers or a headset to listen to the training segments.

The training movie will be presented in your Web Browser within a screen similar to the one pictured below. (Figure 2.6)

Training videos are Flash based and run for approx 5-20 minutes per module. These have been provided by NewMedia. The testing portion is made up of one test of 4 questions from the segment.
Training and testing times are combined in the segment elapsed time: There is no further breakdown of this time into separate times spent training vs. testing.
The training portion of the WHMIS system requires the user have Macromedia Flash installed. Do we require links to the various active X controls and plug-ns required for training.

There is a link on the left hand side of the training screen labeled Go to Test that will take you to the test when you are finished watching the movie. You are also presented with another link labeled Quick Review. This quick review link will take you to a screen that will summarize the training video for you if you wish before taking the test. There is also a Logout link that will safely log you out of the WHMIS training system without registering a test attempt at this point. Remember that you have 30 days from your first login date to finish all 4 segments of the WHMIS training.

2.4.1 The Control/Information Bar

At the bottom of the flash movie you will notice a bar that contains controls. These controls can be used much like vcr controls. You can find out what each button does by moving the mouse over it. A message will appear in the middle of the bar notifying you of the buttons functions.

As the movie progesses information buttons will pop up on the left hand side. The buttons will temporarily flash with a red outline to notify you. You can find out what information each button contains by moving the mouse over it. Once the button is clicked the movie will pause and the information will be displayed in a window above the movie. To continue with the movie simply close the window and press the play button.

 

2.5 Training Quick Reviews

If you have clicked on the Quick Review link from any of the training segments then you will be presented with a text based review screen similar to the one below. (Figure 2.7)

The quick review screen presents you with a summary of the training movie you watched during the training segment. This screen has a link to Go To Test if you are now ready to take the test and a Review Training link if you need to watch the training video again because you don’t think you’re ready for the test. The Logout link is also available on this screen..

Note: You may watch the training movie as many times as you wish. The quick review is also there for you as many times as you need.

2.6 The Glossary

If you have clicked on the Glossary link from any of the training segments then you will be presented with a glossary screen similar to the one below.

The glossary screen presents you with definitions of the words you saw or heard while you watched the training segment. This screen has a link to Go To Test if you are now ready to take the test and a Review Training link if you need to watch the training video again because you don’t think you’re ready for the test. The Logout link is also available on this screen..

Note: You may watch the training movie as many times as you wish. The glossary is also there for you as many times as you need.

 

2.7 Test Introduction Screen

After clicking on the Go To Test link you are brought to the test introduction screen. This screen appears between any training module and the actual test.This screen is presented as a final warning to users that they are about to attempt the testing phase and that an attempt will be registered as soon as they proceed to the test screen by clicking on the Begin Test link. There is also a link Back to Training from here if you feel that you are not ready for the test. The Logout link is also on this page providing you with an opportunity to safely leave the training system without registering an attempt. We’ve had enough training at this point so let’s click on the Begin Test link and proceed to the testing phase for this segment.

      The test introduction screen is the point of no return for logging out of the system before an attempt is registered by the system. If the user agrees to the terms of the warning statement included on this page and clicks the Begin Test link the system registers an attempt.

      Attempts – An attempt at passing a segment is registered when clicking the begin test button (or on testing page load) whichever is more appropriate programmatically. Users are allowed 3 attempts per segment. Each registered attempt increments the attempt number by 1 and checks for 3 failed attempts. On the 3rd failed attempt the user account is flagged and the user is locked out of the system. User will receive the account locked error upon attempted login.

      Logout – The logout buttons throughout the system perform as follows. The segment timer for elapsed time is paused. The user is brought back to the login screen. /mhnewmedia/default.asp. Closing the browser window is currently unable to be treated as a logout.

2.8 The Testing Phase

Following every training phase of the WHMIS system is the test that you must complete to finish any one segment of training. The tests are presented in a text format with only one correct answer for any one question. Selection of your answer is made by selecting the radio button next to the answer you feel is correct. (Figure 2.9)

The Submit button should be clicked when you have answered all of the questions on the test and are ready to find out how you scored.

The randomness of questions follows the following format. The questions are randomly generated from the database. The dB will contain at minimum 12 questions per segment to provide no duplicate questions for those repeating a segment. Each Segment test will be comprised of only 4 questions drawn from a pool of that segments questions. The answers will be randomly seeded into position 1-4 or less in cases where a question only has 2 or 3 possible answers. Questions answered incorrectly during the test are removed from the random selection of questions asked on the subsequent attempts at that segment. The admin tools surrounding question and answer administration should not allow a segment with less than 12 questions. Each question needs a minimum of one correct answer and one alternate answer to be valid.
Pass/Fail logic - Upon submission of the test to the WHMIS system the pass fail logic is used to determine if the user passed or failed this attempt at the segment. Users are asked 4 questions on any test and a passing mark is 75% or (3 or 4 of the 4 questions correct). Attempts with more that one (2 -4) questions wrong is a failed attempt. Upon account lockout the user is directed to the login screen. /mhnewmedia/default.asp. We need to store pass or fail at minimum in the dB the particular questions asked per user are not needed to be stored. The questions that have been asked are recorded so that incorrectly asked questions are not asked again of this user on subsequent attempts.
Segment End/ Elapsed Time - Upon submission of a passing test the Segment end is recorded in the dB (date and time) or if Segment is failed (3 failed attempts in a segment). The elapsed time for this segment is calculated as the Segment Start date minus the Segment end Date (time taken should be recorded) this is cumulative time spent training and testing within the one segment regardless of the number of attempts (up to 3) and spans multiple logins. The segment Elapsed time is paused whenever a user logs out and starts back where it left off when a user clicks on the begin training link. It is totaled when the segment is passed or failed. This marks the end of a segment. Segment end date is also stored in dB.

2.9 The Results Screen

After completing a test it is time to see how you did. The results screen (Figure 2.10) is displayed after you submit your answers to the WHMIS training system. After completing a test the results are displayed on screen with correct answers given for the questions you may have gotten wrong. Each test is comprised of 4 questions and you must get 3 of the 4 questions correct to pass each segment. After you have reviewed your results you can click on the Continue link to return to the segment status screen and continue your training. Your test results and score are recorded by the system before you see this screen so there is no concern about losing your test results. The next time you login to the system your status will reflect the most current results.

      The results screen will only display the number of attempts remaining in the case where there are attempts remaining and only in the case where a segment was failed. Users who have passed receive no extra message and the continue link takes them to /mhnewmedia/main.asp. Failed users get directed to / mhnewmedia /quickreviewX.asp when they click on the continue link. Where X is the current training segment. Correct answers only get the Correct next to the test question number. Incorrect answers get the word wrong. (Possibly use the word INCORRECT here sounds better) The correct answer is also displayed for these questions. The incorrectly answered questions are removed from the random pool of questions for these users’ subsequent attempts at this segment. Maximum attempts per segment is 3 where upon first failure the user has 2 attempts remaining to pass that segment. The user has 3 attempts per segment of the testing. Number of attempts per segment are also stored in dB.


      The Images included with a question or with an answer will always appear to the right of any included text for that question or answer. (E.g. (The answer text explaining that this is an answer if any) then (answer image if any)

3.0 What Happens If You Fail a Segment

The First thing to realize is that there is no need to panic. The WHMIS system has been designed so that you have 3 attempts to pass a training segment. When a segment is failed the Continue link will take you to the quick review screen. Here you can review the important points of the training and if you wish you can watch the movie again. If you have passed this segment you are directed to the main status screen.

Note: It is strongly recommended that you watch the entire movie again after failing a segment. The test for the segment you failed will consist of DIFFERENT questions the next time you take it so it is important to know all the material in the movie.

If you have failed any segment 3 times then you have unfortunately failed the WHMIS training course and the system will lock you out from doing any further training. See your Human Resource Administrator about possible re-certification.

The failure of any segment 3 times results in the user account being locked and his login attempt will fail. The message at login will indicate to the user that his/her account has been locked and that the must see their HR Admin in order to gain access to the system. The HR admin will need to make the decision to either re-certify the user using the re-certify field and payment for the user will be again collected in billing or not re-certifying the user (subsequent job related action is taken).

The re-certification link will only be present on user accounts that are DNF, Pass, failed.

The decision was made to leave e-mail notification out of the 1.0 release in the interest of keeping cost down. The concept for a later build is to send e-mail notifications to designated people upon failure of the WHMIS system.
